Forward emails to PayAppHub
Forward approved change orders, lien waivers and job documents to your company's address, then confirm them on the job.
Every company has its own forwarding address. Find it in Company settings, under Forward emails to PayAppHub, and click Copy address. Add it to your email contacts so it's easy to forward to.
What you can forward
- An approved change order from your general contractor, with the executed change order attached (or the approval written in the email).
- Lien waivers from your own subcontractors.
- Delivery tickets, invoices and photos of stored materials.
- A new contract for a job you haven't set up yet. It waits on your dashboard; open it and choose Set it up from the attached documents.
- Any other job document you want kept with the job: insurance certificates, billing instructions, forms to fill out.
What happens next
- PayAppHub reads the email and its attachments and works out which job it's for, using the project name, the GC's project number, your contract number or the address.
- You get a short reply saying it arrived.
- The next time you open that job, a window pops up showing what PayAppHub found: the job, the change order (number, description, amount, approved or pending) and a document type for each attachment.
- Check it, change anything that's wrong, and click Confirm. The attachments are filed on the job's Documents tab. An approved change order is added to the contract and appears on the schedule of values as its own "CO-#" line, ready to bill on your next pay app. If the change order number is already on the job (for example, a pending change order that's now approved), it updates that change order instead of adding a second one.
Nothing changes on the job until you click Confirm. Not now leaves the email waiting, and Dismiss removes it without changing anything.
If PayAppHub can't tell which job the email is for, the dashboard shows a reminder. Click Review now and choose the job yourself.
A job that isn't in PayAppHub yet
If the email is for a job you haven't set up, choose + New job… in the Job list:
- Set it up from the attached documents reads the attached contract the same way as New project from documents. Check what was found and create the project. The email then pops up on the new job, with the attachments already filed, so you only confirm the change order.
- Enter it by hand opens the new project form. When you save it, the email pops up on that job.
Good to know
- Only email sent from the address you sign in with (or another user's in your company) is accepted. Viewers can't forward. Email from anyone else is ignored.
- If PayAppHub can't confirm that an email really came from your address, it isn't read automatically, and it's marked so you check it before using it.
- A change order is only marked approved when the document or email clearly shows it: signed or executed by the contractor, or the GC says it's approved. A quote or pricing request comes in as pending.
- Reading forwarded emails uses your plan's monthly AI allowance, like reading a contract.
- If the address is ever shared outside your company, an admin can click Get a new address. The old address stops working right away.
