Privacy Policy

1. What this covers

This policy explains how Subcontractor Technologies LLC ("PayAppHub," "we") collects and uses information through payapphub.com and the PayAppHub app. PayAppHub is a business service: the companies that subscribe control the project data they put in, and we handle it on their behalf.

2. Information we collect

• Account details: your name, work email, company name, password (stored only as a secure hash) and the role you have in your company.
• Your business data: projects, contracts, schedules of values, pay applications, change orders, lien waivers, contacts, signatures, logos and files you upload.
• Billing details: plan, billing history and billing address. Card details are collected and stored by Stripe, not by us.
• Support messages: emails you send to support@payapphub.com and our replies.
• Technical information: sign-in sessions, IP addresses, browser type and an activity history of changes (who changed what and when), used for security, troubleshooting and the change history you see in the app.

3. How we use it

To provide and secure the service; to fill in and produce your documents; to process payments and send receipts, invitations, password resets and service notices; to answer support requests; to prevent fraud and abuse; and to meet legal and tax obligations. We don't sell personal information and we don't use your business data for advertising.

4. Automated contract reading (AI)

When you use contract reading or form mapping, the document you choose is sent to an AI provider (currently Anthropic, and possibly OpenAI) to extract the information. Under the business terms these providers offer, they don't use this data to train their models. Results are saved in your account for you to review. Contract reading is optional; you can enter everything by hand instead.

5. Who we share it with

Only with service providers that help us run PayAppHub, under agreements that limit their use of the data:

• Render (application hosting and database, United States)
• Cloudflare (file storage, website delivery and email routing)
• Stripe (payments and billing)
• Resend (sending email)
• Anthropic / OpenAI (contract reading, when you use it)
• Intuit (QuickBooks Online, only if you connect it: PayAppHub sends the invoices and any customers or jobs you choose to create, and reads your accounts, customers and invoice payments)
• Google Fonts (website fonts, which receive your IP address when pages load)
• Google Analytics and Google Ads (visitor statistics, and measuring which of our ads lead to sign-ups, on our public pages only: homepage, blog, help center, policies, sign-up and sign-in. They aren't used inside the app, so they never see your projects or pay applications.)
• YouTube (our tutorial videos on the homepage, played in YouTube's privacy-enhanced mode and loaded only when you click play)

We also share information when you direct us to (for example, sending a pay application to a general contractor), when required by law, to protect rights and safety, or as part of a sale or reorganization of the business, in which case this policy continues to apply.

6. Cookies

We use a sign-in cookie to keep you signed in. On our public pages, Google Analytics and Google Ads set cookies to count visits, see which pages are useful and tell us when someone who clicked one of our ads signs up; you can block them in your browser, with Google's opt-out add-on, or in your Google ad settings (adssettings.google.com). We don't sell your information or use it to show you other companies' ads. Stripe sets its own cookies on its checkout and billing pages to process payments and prevent fraud.

7. How long we keep it

We keep your data while your company has an account. After a subscription ends, the account stays available read-only for at least 30 days. A company owner can ask us to delete the company's data at any time; we'll do so within 30 days, except for records we must keep for tax, accounting or legal reasons (such as invoices). Backup copies are removed on our normal backup schedule.

8. Security

Data is sent over encrypted connections (HTTPS) and stored with access controls that keep each company's data separate from other companies'. Passwords are stored as one-way hashes. PayAppHub support can open an account read-only, for up to an hour at a time, to help with a problem; it can't change anything, and each visit is recorded in the company's Change history. No system is perfectly secure; if we learn of a breach affecting your information, we'll notify you as the law requires.

9. Your choices and rights

You can view and update your account details in the app, and download your documents. You can ask us to access, correct or delete your personal information by emailing support@payapphub.com. If you're a user invited by a company, some requests may need to go through that company, since it controls its account. Depending on where you live, you may have additional rights under state privacy laws; we'll honor them as required.

10. Children

PayAppHub is for businesses and isn't intended for anyone under 18. We don't knowingly collect information from children.
