What's new in PayAppHub

We keep adding to PayAppHub, based on what subcontractors ask for. Here's what's new, newest first.

Step-by-step pay app flow

Every pay application now shows numbered steps across the top: Billing, Finalize, Lien waiver, Extra documents, Package, Send and Complete. Each step gets a green check as you finish it. Skip the steps a job doesn't need (no lien waiver, no extra documents), mark it sent if you emailed it yourself, and Mark complete lights up when it's the last thing left.

Saved signatures

Save your signature once in Company settings: upload a picture of it, type it in one of 12 handwriting fonts in black or blue ink, or draw it. Sign the pay app with it when you finalize, and click Add signature on a lien waiver to place it on the signer's line, then drag and resize it. Notary lines are still left blank for notarizing in person.

Email the package to the contractor

Send the finished pay app package straight from PayAppHub. The email is filled in for you (the job's billing contact, "Pay App # - job name" and a short message) and everything is editable, with CC and BCC. It goes out under your name, and replies come back to your own email.

QuickBooks Online is live

Connect QuickBooks Online in Company settings and send a finalized pay app across as an invoice with one click: the work billed this period, the retainage withheld on its own line, your invoice number and the pay app PDF attached. When the payment is received in QuickBooks, the pay app is marked paid in PayAppHub. You can also have it sent automatically when you mark a pay app complete. Included in every plan.

Forward emails to PayAppHub

Every company now has its own email address. Forward an approved change order, a lien waiver from your sub, delivery tickets or a new contract. PayAppHub reads it, works out the job, and waits for you to confirm the next time you open that job. An approved change order goes straight onto your schedule of values, and a new contract can set up the job for you.

Billing guides by trade

New pages for flooring, electrical, HVAC and mechanical, drywall and framing, glass and glazing, and window treatments, with sample schedules of values, stored-material billing and the spec sections behind each line.

Bring a job over from other software

Pick up a job in the middle: upload your last pay app PDF and let AI read the billed-to-date amounts, fill in an Excel template, or type them in. Your next pay app starts right where you left off.

Help center and help assistant

Searchable how-to articles for every part of PayAppHub, plus a help assistant inside the app that answers questions about the screen you're on. If it can't help, it sends your question to our support inbox.

More documents in the pay app package

Add backup to a pay application, such as delivery tickets, stored-material photos, sub lien waivers or the GC's forms, by uploading them or picking them from the job's documents. They're included, in order, in the one PDF you send.

Lien waivers on screen

See the GC's actual lien waiver form on screen, type into any blank, and add text anywhere before you print. PayAppHub uses the project's own waiver, the contractor's default, or your company's general waiver.
